Setting up a KSeF certificate in Quento is now simpler.

Download the certificate in the KSeF Taxpayer Application, upload the generated files to Quento, and save your company settings. There is nothing to combine or convert.

Why it is worth doing now

If Quento connects to KSeF with a token, prepare to replace it with a certificate. According to the current information from the Polish Ministry of Finance, tokens are scheduled to work until December 31, 2026, with KSeF certificates remaining as the authentication method from January 1, 2027.

Uploading your certificate now helps you avoid an interruption in invoice delivery when token support ends. Your existing token can keep working until it is retired, so you can make the switch early and without a last-minute rush.

The Ministry is consulting a proposal to keep tokens available after that date, but it has not yet become the rule. For now, preparing a certificate according to the current schedule is the safest approach.

First, generate the certificate in KSeF

In the KSeF Taxpayer Application, open Certificates → Apply for a certificate. Then:

1. Give the certificate a name that will help you recognize it later.
2. Set a password that meets the requirements shown on screen and enter it again. Keep it safe — you will need it when uploading the certificate to Quento.
3. Select Generate, then download the files prepared by KSeF.

Then upload the certificate to Quento

1. In Quento, open Companies → your company → Edit → KSeF Configuration.
2. Add the certificate and private key in their respective fields.
3. Enter the password you set in KSeF and save the company.

In Quento, select the KSeF “Production” environment, upload the generated files, and enter the password you set earlier

Quento checks the certificate automatically and stores it securely in encrypted form. From then on, it uses the certificate to authenticate with KSeF.

Personal certificates are supported too

You can also upload an authentication certificate issued to an individual. Quento accepts the certificate, while KSeF checks whether its owner has permission to act for the company.

If the certificate names a different company's NIP, Quento stops the setup and lets you know about the mismatch.

Once you save the settings, Quento handles authentication automatically. You can get back to your invoices without any further setup.

This is more than a list of API calls. The skill teaches the agent how Quento works and how to avoid common accounting mistakes:

• it resolves the correct client, company or invoice before making a change;
• a supplied NIP or EU VAT number is checked against the company registry before creating a client;
• invoice actions follow the draft, issued and paid states;
• ambiguous payment instructions are clarified before recording a payment;
• revenue and outstanding amounts remain separated by currency;
• when a PLN company receives a price in USD or another currency, the agent retrieves a fresh, sourced exchange rate and confirms whether to keep the foreign-currency invoice or convert the prices — it never silently relabels the amount.

Quento Agent Skills connects through Quento's official MCP server using standard browser-based OAuth. There are no API keys to copy into prompts or configuration files.

Your MCP client stores and renews its authorization, while Quento keeps the same account and access controls you already use.

You can now sign in to Quento in two ways: with a password or with a one-time code sent to your email address.

Setting a password is completely optional. If you prefer the email code you already use, you do not need to change anything.

Choose how you sign in

After entering your email address, we immediately send a one-time code to your inbox and take you straight to the code entry screen. From there you can:

• enter the code from the email,
• or select Sign in with password instead.

You can choose your preferred option every time you sign in, even after setting a password.

How to set a password

Sign in to Quento, open your profile menu and select Security.

Your profile menu → Security

Then:

1. choose the option to set a password,
2. enter a password containing at least 12 characters,
3. confirm your new password.

That is it. The next time you sign in, you can use your password or continue using a one-time email code.

Passwords are configured separately for each user. This means that members of the same team can use different sign-in methods.

You can change or remove your password at any time from the Security page.

Select "Forgot password?" on the sign-in screen. We will email you a link that allows you to set a new password.

You can also continue signing in with a one-time email code.

Running a business rarely means working alone. An accountant needs to see invoices. An employee handles payments. A partner checks one specific thing.

Roles That Match Real Situations

Each person you invite gets a role. There are two to choose from:

• Admin — full access, same as the account owner. Good for a trusted partner or office manager.
• Member — can create and manage invoices and clients, but cannot touch account settings or billing.

You can change a role at any time.

How to Invite Someone

Go to Settings → Team, enter an email address, choose a role, and send the invite. The person receives a magic link and lands directly in your account.

If they have not joined yet, you can resend the invite from the same page. Removing access is one click.

Why It Matters

Most accounting tools either give someone full access or none at all. That creates two problems: either you share too much, or you end up doing everything yourself.

Teams in Quento gives you the middle ground. Your accountant sees invoices. Your employee handles payments. You stay in control.

Some invoices need more than the main client name.

The buyer may be the company, but the invoice should also point to a department, branch, office, or other recipient. Quento now supports that with a new Entity / Recipient section.

You can keep the invoice simple when the client is enough, or add an entity when the recipient details matter.

How It Works

You can manage entities from the client page, where they stay attached to the client for future invoices.

Quento shows the selected recipient details on the invoice page and in the PDF, so you can review them before sending or exporting.

Step 3: Edit and Save

• Same client and company selected
• Matching payment terms and currency
• Your labels preserved

Make your changes - adjust quantities, update prices, add or remove items - then save as draft or issue immediately.

Yes! The copy keeps the original client selected, but you can easily change it before saving.

Big news for businesses invoicing in Germany - Quento now supports XRechnung, Germany's mandatory e-invoicing standard.

What is XRechnung?

XRechnung is Germany's national standard for electronic invoicing, based on the European EN 16931 standard. It's:

• Mandatory for German public sector since 2020
• Coming for B2B transactions between 2025-2028
• Structured XML format (UBL 2.1) for automatic processing
• Legally compliant when validated by official authorities

If you invoice German government entities or B2B customers, you'll need XRechnung-compliant invoices.

How It Works

Automatic Detection: Quento automatically generates XRechnung XML when:

• Your company is located in Germany (DE),
• Your client/customer is located in Germany (DE)

If either condition is met, the XRechnung option appears automatically - no configuration needed.

1. Create your invoice (web interface or ChatGPT)
2. XRechnung auto-generates - proper XML structure, VAT IDs, tax codes
3. Download or email - get the XML file directly or attach to emails

You can now add an accounting email address to your company profile. When you've sent an invoice to your client, use the new "Send Copy to Accountants" button to deliver a standardized bookkeeping copy - completely separate from your client email.

Important: This is NOT automatic. You have full control - send copies only when YOU decide your accountant needs them.

How It Works

One-Time Setup (30 seconds)

1. Go to Company Settings
2. Find the "Accounting Email" field

After sending an invoice to your client, you'll see a new button: "Send Copy to Accountants"

Click it and you'll see:
- Your saved accounting email pre-checked (ready to go!)
- Option to add additional recipients (tax advisor, CFO, etc.)
- One-click send - no editing, no customization needed

The standardized email format keeps it clean and professional for bookkeeping purposes.

A: Absolutely not! This is completely optional. Use it only when your accountant needs a copy. Your normal "Send to Client" workflow is unchanged.

Q: Will my accountant see the email I send to the client?

A: No! The accountant receives a completely separate, standardized email designed for bookkeeping. Your client communication remains private.

Q: Can I send to multiple accountants?

A: Yes! Your saved accounting email is pre-selected, but you can add as many additional recipients as needed using the "Add recipient" button.

Q: Can I customize the message to accountants?

A: No, and that's intentional. The standardized format keeps everything professional and consistent for bookkeeping purposes. Your accountant will appreciate the consistency.

Q: Can I send copies of old invoices?

A: Absolutely! Open any invoice (even ones from last year) and use "Send Copy to Accountants" to forward it to your bookkeeper whenever needed.

Q: What if I don't have an accounting email saved?

A: No problem! You can still use the feature by adding email addresses manually when sending. To save time on future invoices, just add your accountant's email in Company Settings.

Q: Does this cost extra?
